Overview of position: Reporting to the Finance Director, the Grant Billing Coordinator is responsible for preparing monthly grant invoicing, providing detailed and timely grant analysis and reporting, and will provide direct support in planning and preparing annual grant budgets. Works to manage multiple funding streams, including multiple federal and state grants, foundation grants and contracts for payment. 

RESPONSIBILITIES:

  • Gathering and organizing for government and foundation grant invoicing
  • Create, review, and submit invoices for grants in accordance with the award or contract while also tracking spending by line item
  • Ensure grant bills are electronically scanned, copied, transmitted, and filed in accordance with contractual/grant requirements and agency’s fiscal policies & procedures.
  • Analyze reports and billing reconciliations to provide reasons for variances.
  • Understand each assigned grant program goals and strategies, as well as the eligible expenses.
  • Ensure all required grant invoicing documentation is maintained and readily available for monitoring and audits.
  • Assist Director of Finance and Sr. Director of Grants & Contracts in mentoring and training staff as needed.
  • Work with Program leadership to maintain ongoing compliance with grant reporting, budget, and spending requirements.
  • Maintain monthly grant reporting information and tracking spreadsheets along with due dates as well as billing requirements for assigned grants.
  • Reconcile activity between expense tracking spreadsheets and the accounting system to ensure accuracy and completion.
  • Assist in the development of program/grant budgets.

QUALIFICATIONS

Education and Experience:

  • Bachelor’s or Associate degree in related field or equivalent work professional experience required (3-5 years).
  • Compliance with A-133 OMB standards.
  • Experience with government grant and foundation contracts.
  • Advanced use in Excel.
  • Proficiency in Word, Outlook and Adobe Acrobat in a business setting required.  
  • Ability to research effectively in multiple mediums, especially electronic. 
  • Ability to work well with multiple deadlines.
  • Must possess keen analytic, organization and problem-solving skills that support and enable sound decision making.
  • Must be deadline oriented, professional communications skills
  • Experience with govt payment websites preferred.
  • Experience with QuickBooks Online preferred.
  • An organized mindset and attention to detail
  • Ability to understand and interpret agency financial reporting requirements
  • Ability to work independently and as a member of a team
  • Ability to problem solve and provide guidance to other team members.
  • Ability to work well with multiple deadlines
  • Valid driver’s license with no more than three minor driving violations and/or accidents combined within the last three years, and no major moving violations in the past five years.

  • Participate in The Center’s community engagement and fundraising activities as needed.
  • Regularly engage, support and collaborate with volunteers to provide a meaningful experience.
